Guide Updating the tracker
Everything the pages show comes from two SharePoint lists you own.
Edit a row and the pages follow. No developer, no republishing.
All three live on the Human Resources SharePoint site, the same site as the PTO spreadsheets. If you lose these links, open Site contents and they are listed there. Worth bookmarking the Certifications list.
Changes appear within about five minutes. Refresh
the tracker. To see an edit immediately instead of waiting,
open hr.infinitesolutionsllc.com/learning?fresh=1.
Making several edits at once? Use Edit in grid view in the list toolbar. It behaves like a spreadsheet, so you can tab across and paste down a column.
Change Status from In progress to Earned, put the
date in DateEarned, and set DatePrecision to Exact.
They leave the In Progress tab, the certification turns solid on their card, and the coverage figures update.
| Column | What to put |
|---|---|
| Title | Their name, spelled exactly as in the People list |
| CertificationName | The certification as you want it displayed |
| ExamCode | e.g. SC-300. Leave blank if it has none |
| Vendor | CompTIA, Microsoft, Cisco or Other |
| Status | Earned |
| DateEarned + DatePrecision | The date, and how precise it is |
The same as adding one, but Status = In progress and leave
DateEarned empty. If they have an exam booked, put it in ExamDate and
the card shows that date instead of the words “In progress”.
Current. They appear straight away under “no certifications on
record yet” until they have one.Former.
Do not delete them. Their certifications move to the Past Employees tab
and stop counting toward team figures.Add the person to People first, then their certifications. A certification for somebody not on the People list is ignored on purpose — that is what stops a typo creating a phantom team member.
The “Report a correction” link on each card emails you, alongside the existing process of people sending their badge and completion details to their supervisor, Ruben and you.
The
Corrections list
is ready for when we switch that link to a proper queue, so you can work through it
with a status of New, Applied or Rejected
instead of an inbox.
Only these matter. Anything else on the list is SharePoint’s own plumbing.
| Column | Notes |
|---|---|
| Title | The person’s name. It is labelled “Title” because SharePoint reserves that first column — it still holds the name |
| CertificationName | Free text, shown exactly as you type it |
| ExamCode | Drives the architecture ladders and the matrix. Blank is fine: the certification still shows on the person’s card |
| Vendor | CompTIA / Microsoft / Cisco / Other. Sets the chip colour |
| Status | Earned / In progress / Scheduled |
| DateEarned | Blank on an earned certification is what produces the amber date? tag |
| DatePrecision | Exact, Quarter or Year |
| ExamDate | Optional. A booked exam date for something in progress |
| RenewalOf | The exam code this row renews |
| SourceNote | Free text shown after the certification name |
Nothing in the records we imported has an exact date: 67 entries are year-only and
60 are quarter-only. Without this column the page would print 1 January 2021
and imply an exam day nobody ever wrote down. Set Year or
Quarter and it displays 2021 or Q4 2022
instead. Use Exact from here on, where you know the real date.
If someone renews a certification they already hold, add the row and put the exam
code in RenewalOf. It shows on their card marked renewed but does
not count as a second certification. If they had never held it, leave
RenewalOf blank — then it counts as earning it, which is what it is.
If a single entry really is two exams, put both codes in ExamCode separated
by a semicolon: MD-100;MD-101. Two of the imported records work this way.
RosterStatus to
Former instead, so the history survives.None of these break anything permanently and none can lose data — but the pages will stop showing something until it is put back.
Two things look like they belong here and do not:
Every signed-in member of staff can see the whole tracker, by design — that visibility is the point of it. So treat SourceNote as public to the team and keep anything personal or sensitive out of it.
Certifications with no date show an amber date? tag on the
By Person tab — 26 of them at the moment. To work
through them, sort or filter the
Certifications list
by DateEarned and the blanks group together.
You do not maintain any of this. It is all calculated from the rows:
